Payment & Subscription Terms

1. Scope

1.1. These Payment & Subscription Terms (“Payment Terms”) govern paid plans, billing, and payment for the Service. They form part of and are incorporated into the Terms of Service. Capitalized terms not defined here have the meaning given in the Terms of Service.

1.2. Where these Payment Terms conflict with the Terms of Service on billing matters, these Payment Terms prevail.

2. Plans and features

2.1. The Service is offered in tiers. The current tiers are summarized below; the definitive, up-to-date feature list and prices are shown at sign-up and in the dashboard.

  • Free — semantic search only, bounded video window (approximately the 100 most-recent videos), public church page; no on-site chat widget. Price: USD 0 / free of charge.
  • Starter — USD 49 +VAT per month — full YouTube archive processing, conversational assistant, on-site chat widget, weekly auto-sync.
  • Growth — USD 99 +VAT per month — up to 3 YouTube channels, PDF/DOCX upload, website scanning, custom branding, separate widgets per channel, multi-language responses.
  • Enterprise — custom pricing — white-label, API, data isolation, SSO, multi-tenant, service levels (SLA); governed by a separate agreement (MSA/SLA).

2.2. Currency, VAT, and price changes. Prices are stated in USD and are exclusive of VAT and any other applicable taxes. VAT and applicable taxes will be added where required, at the applicable rate. We may change prices for future billing periods with reasonable prior notice; changes do not affect the current paid period.

2.3. Feature availability. Features depend on the active plan. We may adjust features as described in the Terms of Service. Some settings are shown as locked (“upgrade to unlock”) or hidden (not yet available).

2.4. Fair-use processing allowance. All paid plans are subject to the fair-use processing ceiling set out in the Terms of Service (Section 4.5): a maximum of 1,000 hours of video processed (indexing/re-sync) per workspace per calendar month. This allowance covers content processing (the main variable cost of the Service); it does not limit end-user searches or chat queries against already-indexed content. If a workspace reaches the ceiling, additional processing may be queued, slowed, or deferred to the next monthly reset, without interrupting access to already-indexed content. Customers who expect to exceed the ceiling should contact us about a suitable arrangement (including Enterprise terms). Any per-plan allowances that differ from the default are shown in the dashboard.

3. Trial and free usage

3.1. Free usage and any trial are subject to technical limits (e.g., the bounded video window). Full archive processing is enabled after a paid subscription begins.

3.2. We may modify or discontinue free/trial offerings prospectively. No payment is due for the Free plan.

4. Billing, renewal, and auto-renewal

4.1. Paid subscriptions are billed in advance on a recurring basis for the selected billing cycle (e.g., monthly or annual).

4.2. Auto-renewal. Subscriptions renew automatically for successive periods of the same length at the then-current price, unless cancelled before the end of the current period. By subscribing, you authorize recurring charges to your payment method until you cancel.

4.3. Annual billing. Where an annual cycle is offered, it may be billed as a single upfront payment for the year and may include a discount relative to monthly billing.

4.4. We will send billing-related communications (e.g., receipts, renewal or price-change notices) to your registered email.

5. Payment method and processing

5.1. Payments are processed by Stripe. By providing a payment method, you authorize us and Stripe to charge the applicable fees, taxes, and recurring amounts. Your use of Stripe is also subject to Stripe’s terms and privacy policy.

5.2. You must provide a valid, authorized payment method and keep it current. We do not store full card details; these are handled by Stripe.

5.3. Failed payments. If a charge fails, we may retry and/or notify you to update your payment method. If payment remains outstanding, we may suspend or downgrade the Service after notice, without prejudice to amounts owed.

6. Upgrades, downgrades, and changes

6.1. Upgrades take effect immediately; the price difference may be charged on a pro-rata basis for the remainder of the current period, or added to the next invoice, as indicated at checkout.

6.2. Downgrades take effect at the end of the current billing period. Reduced features (e.g., archive size, extra channels, uploads, branding) may become unavailable upon downgrade; you are responsible for exporting or preserving any needed data before the change.

7. Cancellation

7.1. You may cancel at any time via the dashboard (or by contacting billing-aoc@askourchurch.com). Cancellation stops future renewals.

7.2. Unless a refund applies under Section 8 or mandatory law, cancellation does not entitle you to a refund for the current period; you retain access to paid features until the end of the paid period, after which the account reverts to the Free plan or is closed.

7.3. Deleting your workspace (“Delete workspace” in Settings) ends the subscription and results in deletion of associated data as described in the Privacy Policy and DPA.

8. Refunds and consumer withdrawal

8.1. Except where required by mandatory law or expressly stated, fees are non-refundable.

8.2. Consumers — right of withdrawal. If you contract as a consumer under Polish/EU law, you generally have 14 days to withdraw from a distance contract. For digital services: if you expressly request that the Service begin before the end of the withdrawal period and acknowledge that you will lose the right of withdrawal once the service is fully performed, that right ceases on full performance. If you withdraw after the service has begun at your request, you may owe an amount proportional to what was provided up to withdrawal. To withdraw, contact; a model withdrawal form is available on request.

8.3. Statutory consumer rights and warranty rights under Polish law are not limited by these Payment Terms.

9. Taxes and invoicing

9.1. You are responsible for applicable taxes other than taxes on our net income. Where reverse-charge or VAT-ID rules apply (e.g., B2B within the EU), provide a valid VAT/tax identification number; the correct VAT treatment will be applied accordingly.

9.2. Invoices/receipts are issued electronically to your registered email or made available in the dashboard. [Confirm invoicing process and whether Polish VAT invoices are issued.]

10. Suspension for non-payment

We may suspend or restrict access for overdue amounts after reasonable notice. Suspension does not relieve you of the obligation to pay amounts due. We will restore access promptly upon payment, subject to the plan terms.

11. Changes to these Payment Terms

We may update these Payment Terms. For material changes affecting paid subscribers, we will provide reasonable prior notice. Changes apply to renewals after the effective date. Continued use after that date constitutes acceptance.
